Can I sell multiple company seats for my product?

Offering multiple seats for your course or coaching programs.

While Membership.io doesn't have a built-in "multiple seats" option, there are still a few ways to deliver multiple seats if you sell to companies or organizations. 

Here are a few example scenarios where this process can be applied:

  • An "all-access" administrator pass along with five "team member" passes, where the administrator is granted broader content access than the team members.
  • Five "team member" seats, each assigned to a unique user with individual Hub logins.
  • Three, five, or unlimited "team member" seats for a specific Hub, plus a single "all-access" seat for an administrator with access to both the administrator Hub and the team member Hub.

In a nutshell, if you're selling access to more than one person per purchase, we can consider this "multi-seat access".

What you need to manage multi-seat access

Payments

At the center of multi-seat access is the ability to collect payments for the appropriate number of seats. You can use any shopping cart platform you'd like. Most people show multiple pricing options on their checkout page. The administrator is usually the only person who fills out this form.

For example: A seat at $39 / month or five seats at $145 / month

Member registration form

Generally, only one name and email are collected at the point of purchase on your checkout page. For this reason, you need a way to collect the names and emails (along with any other essential details) of the other individuals who will occupy the other seats. The easiest way to do this is with a simple form created in Typeform, Google Forms, Airtable, or any other form/quiz platform you're comfortable with. 

NOTE: The administrator may or may not complete the member registration form on behalf of the team members who will claim the other seats. This form works best when sent directly to the administrator or when placed in an easy-to-locate area for administrators. 

Membership.io Hub access

To ensure the correct individuals receive access to the appropriate Hubs and Hub content within Membership.io, both Payments and Member Registration information need to be seamlessly transferred into the platform. This is most commonly handled by using Zapier to automatically send names and emails collected from your member registration form directly into Membership.io, enabling precise management of Hub access and permissions.

NOTE: There are ways to Segment who sees what if you're looking to customize a different view for administrators and team members.

Member offboarding process

In addition to a member registration process, you need one for removing Hub access to some or all seats if a payment fails or someone leaves the organization. Most people opt to remove Hub access manually to ensure the proper access is revoked and all records and mailing lists are updated accordingly.

TIP: We recommend tagging everyone from one organization (essentially one purchase) with the same Contact Tag, as this makes it easier to locate, filter, and modify access for multiple accounts at once.

Once you have clarity on these four elements, you can finalize your multi-seat product offering using the following process:

  1. Set up your Hub. Create and populate the product (course, membership, etc.) that you're looking to sell access to. Lock any restricted content with a Segment.
  2. Create and share your checkout page. Add any necessary seat products and information on what's included. 
  3. Create one or more member registration forms. Collect the names and emails of the people occupying the additional seats.
  4. Confirm and set up your process for granting and removing Hub access. If you're looking to use Zapier to automate this part of the process, you can create a Zap that is triggered by the member registration form being filled out. The Zap should use the information from the member registration form to create or update the contact profile of the person(s) listed on the member registration to grant them Hub access. Don't forget to also account for the administrator if they should also be granted Hub access! 
  5. Provide the buyer/administrator with the link to the member registration form. Provide the member registration form to the administrator after their purchase. You can send the link via email, or add a section about the form to their Hub, or anywhere else that makes sense for you and the administrators.
